Trufax board with Windows 2008

Fax extension numbers

Q:
Hello ActiveFax, we have the activefax server software version 4.14. At the moment many users/clients have their own faxnumber. Can we configure the users/clients with their own individual accounts but send from and receive faxes in their individual accounts, with only one faxnumber for all of them ?

A:
If you want to send faxes directly to a user with just a single fax number, you need to use extension numbers (DDI). This only works when extension numbers are also supported by your phone line, by your phone system and by the modem or fax board. If possible, I would recommend to use ISDN in that case, since extension numbers are normally supported by most ISDN phone systems.

Home Office with ActiveFax

Q:
I will setup a home office and I will use this active fax. I already install it in my computer and working properly now the problem is I cant send message. I have one laptop and an internet connection only will it work? kindly help me. thanks!

A:
You also need a fax modem in that case. Sending faxes with just an Internet connection is not possible.

Transfer to a new server

Q:
We run Active Fax and it currently is on a server that is going bad. We want to know the best way to move the program from one server to the next with > the least amount of down time.

A:
To transfer an existing ActiveFax installation to a new computer, copy the complete ActiveFax installation directory (usually C:\ProgramFiles\ActiveFax) with all subdirectories from the old server to the new server. After the files have been copied you need to run the ActiveFax Setup on the new server to create the programs and services on the new server. That way all data and settings are transferred to the new system.

The installation drive and directory may also change when you transfer the files to the new server. For example it would also be possible to transfer an ActiveFax installation from C:\Program Files\ActiveFax on
the old server to D:\Programs\ActiveFax on the new server.

Password protection for pdf files

Q:
I am trying to Email patient statements through activefax. I have successfully set that up through my business program;however, I am told that these attached PDF’s need to be password protected to meet HIPPA complinace laws in the US. Is there a Fcode that I can use to do that?? If not, can you suggest a way to do that with your program?? I do not see this addressed in your documentation. If not, you should consider that. It should be an easy addition

A:
I’m sorry, but password protection for PDFs created by ActiveFax is not possible. This is mainly because of copyright reasons of the RSA algorithm used for password protected PDF files. We do however have plans to integrate password protection of PDF files with a future release.

ISDN adapter in a different machine

Q:
I would like to know if Active fax can run using an ISDN network adapter located in a different machine. This particular scenario is of interest as I want to consolidate servers and as such, p2v the activefax server machine.

A:
The ISDN board always needs to be locally installed in the same machine where the fax server is installed. Running the fax server and the ISDN board in two different machines is not possible. In general, I would
recommend to not run the fax server on a virtual machine, since the fax protocol is an analog protocol and timing of that protocol is very critical, so normally you do not get reliable connections when using a
virtual machine.

HP fax machine

Q:
We have just connected a new hp fax machine because our old one died. Now whenever we try to send a fax through active fax the fax machine answers the line and prints it out, stopping the fax been sent. Active
fax says that it has been sent successfully. There is no auto answer on the machine and we have taken it back and got another as we though it was faulty and have tried two different models. The fax line is shared with the internet/activefax.

A:
If possible, I would recommend to use a separate line for the fax machine or use a splitter, so only one of the two lines is active. If this is not possible, I would recommend to disable incoming fax calls on the HP machine to avoid that the fax machine answers to calls made from the fax modem.

Q:
Can you provide an example of how to CC someone in an ActiveFax email? I tried several different ways to use field @F208, but can’t seem to make it work. I don’t know whether to put the CC email address in the field, the CC name in field @F208 and the CC email address in @F212, etc. Thanks!

A:
This can be done when you separate the email addresses with a semicolon (i.e. mail1@domain.com; mail2@domain.com; mail3@domain.com). When using the data field @F212 to set the email addresses, take care to mask the @ character of the email address with a \, because otherwise the end of the data field is not detected by the fax server (i.e. @F212 mail1\@domain.com; mail2\@domain.com; mail3\@domain.com@).

Export of special folders

Q:
In ActiveFax version 4.14, is there a way to automatically export the fax list from a folder that was created by a user? I want to get the value of the “subject” field for each fax that was manually moved to each folder in a group of 10 different folders. I see that you can auto export the fax list from Incoming, Outgoing and Archive “folders”. But what about special folders crated by users? Thank you.

A:
The automatic export is only available for the main faxlist. For archive folders and manually created folders it is only possible to manually do an export.

COM error

Q:
Error Description : The serial interface cannot be opened. Maybe the
interface is already in use by another application.
Suggested Solution : Try to find out which application is using the
interface and terminate it.

A:
If there is no other application running that could have access to the modem, I recommend to check the Windows RAS service. This service often connects to all available modems, so I recommend to disable the RAS service if you do not need it. It would also be interesting to see if it works to connect to the modems COM port through Hyperterminal or if you get the same error. What you can also try to do is to check if this only happens when the modem is used in combination with other modems.
