Q:
Is there a way I can change the return email address on ACTIVFAX to a “default” email address that is always used regardless of who sends the document?

For example, currently it is set-up with a return address of whoever creates the invoices in the a.m. – I would like the return address to be the person who is sending the document.

If you look below at the highlighted one – The user is AMILL (me) but the email goes out as FGOODYEAR who is the person who created the document way back when.

A:
It is not possible to set a default return email address, but it would be possible to specify a different return email address for each message with the data field @F607 email@domain.com@. That way, the reply-to and the senders email address can be different.

Partially fax forward by email

Q:
I run a network, with a domain and everything, with many users & groups. I have about 25 users using Active Fax, all of them needs to see all incoming faxes by ActiveFax clients, which they do.

Now there are 6 new users I DON’T want them to have the client, but I do want them to receive faxes by email ONLY. I added a different modem for that (com3)with a different phone line. I wanted to test your instructions, so I went to extras–> user administrator and created my own user, configured to receive fax by mail.
On communications menu -> Email I defined the exchange server address (just an exampled address). When I try to fax the new modem’s number (by a fax machine) my user does not receive it by mail at all. I do see it at all the other 25 users that have Active Fax client. What did I do wrong?

A:
You need to take care to also assign that new user to the modem on COM3 in the menu Communication / Modem / Modify, so when you set the default user for that modem to (user), new faxes received on that modem are automatically routed to the user and then automatically forwarded by email.

Fax to Email

Q:
We have a problem: The server ActiveFax what we have configured to send mail for all incoming fax, but we noticed that the faxes that contain more than 10 pages not sent by mail. Do you know what may be the problem? Thank you.

A:
On the fax server there is no limitation for the number of pages or the size of an email. This rather sounds like a limitation of the mail server (i.e. that does not allow mails with attachments larger than 1 MB to be sent). If you are using an internal mail server, I would recommend to check if there are such limitations. For testing you can also try to temporary reduce the resolution for email attachments to 100 dpi in the menu Communication / E-Mail / Options, so the attachment files will be smaller.

Fax by EMail only

Q:
How can I receive fax by mail ONLY? I have several users I would like  to have them receiving faxes by email directly. Is there a way for the email faxes not to be seen in the active fax incoming?

A:
You can configure automatic forwarding of received faxes by email with the menu Extras / User Administrator / Modify / Notification. Take care to also configure the address of your mail server in the menu Communication / EMail.

If incoming faxes should not be seen by all users, you need to use permission settings. I would recommend to create a separate group in the menu Extras / User Administrator and only add users that should be able to see incoming faxes to that group. Take care to also revoke the permission
‘Access to all users’ for the single users in that case.

Q:
That has been VERY helpful, but regarding to my second problem- 90% of the users do need to see the faxes. It’s just a group of 5 people that don’t need to. And the only user I have is administrator. Is there another way, without creating ActiveFax users for all of my network users? Can I have everyone seeing all faxes BUT a certain group of users I will create?

A:
If the faxes should not be seen by a small group of users, you need to create at least a single user account for these users. It would not be required to create an individual user account for each user (it would also work to share the same user account for multiple users).

Integration of e-mail fields

Q:
The desired subject of our emails are programmed fields within the body text of the email, which is then transmitted as an attachment.  We are looking to change both/either the subject of the email sent which includes the body in an attachment, and/or the attachment name.  We are looking to have these names be picked up from within our software as the Client Name or Patient Name.

As it stands now, I am able to change a fax subject line, because the fax is not transmitted as an attachment, so it reads from within the “printed” document, for the Data Field @F307.  We have “Fax” and
“Email” set up as Printer Destinations within our software, with a client specified, thusly checking the Client Master file for the client’s fax or email address, before transmitting.  But I am completely lost as to how to manipulate subjects or attachment names within an email, because the document is automatically printed to PDF, rather than printed to “Active Fax”.  I hope this makes sense to you.

Can this be done without additional programming on our part?  Please do not hesitate to contact me if you require any additional information.

It would be possible to individually set the subject, the attachment name and the body text with data fields. Here is an overview about these data fields:

Set the subject of the email:
@F307 subject@

Set the attachment name:
@F602 filename.pdf@

Set the body text of the email:
@F603 Text@
@F604 Text@

When you automatically process PDF files (i.e. through the file system import function), it would be possible to use these data fields either as part of the file name or as an alternative it would also be possible to
attach them as plain text at the end of the PDF file.

Fax forwarding

Q:
At this moment my incoming fax is being forwarded to an e-mail address. Is it possible to fill the subject field of the e-mail with the customers name or fax number?

A:
If you configured email forwarding with the menu Extras / User Administrator / Modify / Notification, the customers fax number and name (if available) should already be used for the subject. Using the parameter MailNotifySubjectRecv in the options.cfg file on the fax server it would also be possible to configure an individual subject text for faxes forwarded by email.

Problem with Email

Q:
I have a problem regarding ActiveFax server email forwarding. It is showing error messages in delivery. That means delivery failure report.. and also when I click on email it is showing authentication error.

A:
It is important to configure the address of the mail server and authentication in the menu Communication / E-Mail on the fax server in that case. For authentication settings, take care to only enable the option for POP before SMTP authentication if this is required by your mail server (normally it isn’t).

When you configured the mail server, you also need to take care to configure automatic email forwarding for incoming faxes. This can be configured with the menu Extras / User Administrator / Modify / Notification. By default, incoming faxes belong to the Administrator user. To test the email service, I would also recommend to send a normal fax message by email (just enter an email address instead of a fax number for the message).
