Multiple EMail recipients

October 29, 2008

Q:
How do you send to multiple email recipients using data fields in the file?

A:
You can send an email to multiple recipients when you use the data
field  @F299@:

Example:
@F212 mail1@domain.com@ @F299@ @F212 mail2@domain.com@

As an alternative it would also work to enter multiple email addresses with
a semicolon. Take care to mask the @ sign of the email address with a \ in
that case when using multiple email addresses.

Example:
@F212 mail1\@domain.com; mail2\@domain.com@

additional cover page

October 27, 2008

Q:
I’d like to insert a new cover page in the drop-down menu in the ActiveFax dialog window: I want to add a new one besides the modern and the standard.

A:
This can be done with the menu Extras / Cover Page Designer on the fax server. Take care to always store such cover pages in the fax server main directory (normally Program Files\ActiveFax\Server) to have them available in the drop down list.

Modems speaker

October 24, 2008

Q:
We have active fax in our office, and the main part is installed onto my computer in the office. For a few months I wasn’t working in the office so I didn’t have a problem with it but the noise from the modem is TOO loud when faxes are being sent in. Is there anyway I can reduce it?

A:
The modems speaker can be disabled on the fax server with the menu Communication / Modem / Modify / Extended.

Cannot see incoming faxes

October 16, 2008

Q:
I get the incoming Faxes on the Server application, but the clients cannot see them. Up ’till now they saw all incoming faxes and there weren’t any changes so what could be the problem?

A:
This sounds like a permission problem of the user. I suggest to login as Administrator on the fax client with the menu File / Login as other user. If you see the faxes as Administrator, you should check the permission settings for the user in the menu Extras / User Administrator / Modify.

ActiveFax Archive

October 15, 2008

Q:
I see where all the faxes are archived but when you look at the client it shows archived faxes back to April 2007 but when I look at the Faxlist the actual dates on the files go back to January 2008 so the two don’t correlate. I want to move off some of the folders that have been archived or even delete them from the faxlist folder completely as we don’t need them more than 3-4 months back. What damage if any will this do to the database?

A:
To automatically moved faxes to the archive, you can configure this with the menu Extras / Options / Archive on the fax server. By default, faxes are moved to the archive after 14 days. Take care that
only faxes with the status “Read” and “Sent” are automatically moved to the archive.

To remove old archives, you just need to delete the following files:

– ActiveFax\Server\Faxlist\yyyymmdd (separate directory for each day)
– ActiveFax\Server\Archive\Faxlist\yyyymm.dat (separate index file for each month)

If you should need the faxes again, you need to create a backup of the files before you delete them. To refresh the archive folder list after the files have been deleted, you also need to once stop and restart the fax server.

General Error 5

October 13, 2008

Q:
I was wondering if you know what “general error 5” means. The pc has 2 modems connected one by com and one by USB.

A:
If there is no other application using the modem (i.e. the Windows RAS service), this sounds like a problem with the modem driver, so you should make sure that the drivers are up to date. I would also recommend to make sure that the option ‘Enable incoming calls (receive)’ is enabled for the modem in the menu Communication / Modem / Modify. That way, the modem stays connected and does not disconnect in idle mode. What you can also try to do is to disable the option ‘Reset modem to data mode’ in the menu Communication / Modem / Modify / Extended.

2 servers using the same fax directory

October 1, 2008

Q:
How does your software work with 2 servers pulling from a directory?

A:
Running two fax servers sharing the same database is not possible. When running multiple fax servers, each fax server has its own database that cannot be shared with other fax servers in the network.
