.tif images not sent

Q:
We are using Active Fax 4.10 build 0214. We have the program configured to send an email notification to the user with a TIF image of the fax in the notification. Active Fax is now sending a notification to the user that the fax was successful, but there is no TIFF image attached. Nothing on the Active Fax server has been changed. The user has had a recent password change on his computer, but I believe Active Fax worked properly after this change, but the time line is fairly close together. We have a 5 user version, and it looks like this user is the only one using it recently, so I do not know if this is a global problem. I have restarted the server that hosts the program. Any suggestion on what to check would be helpful.

A:
I would recommend to check the email settings for the user in the menu Extras / User Administrator / Modify / Notification and make sure that the option for the attachment of the original document is enabled there. Another possible reason for that problem could be that the attachment is removed by a spam filter when the email is sent out orreceived.

Faxes not visible

Q:
I downloaded activefax demo version and i installed it on a server and 5 computers in the same network. after that i create 5 users and i configured the users on each computer. but every user have a problem to see incoming fax. so i think this problem comes because i didnt buy the licenses for every user. I have the intention to buy licenses but i have to know 1st if every user can see incoming fax and if a user deletes a fax on his own box that wont delete the same fax in other users box.

A:
By default, all users should be able to see all faxes (incoming and outgoing). If the fax client has connected to the fax server and you still do not see inbound faxes, I would recommend to make sure that the permission “Access to all users” is granted for the user in the menu Extras / User Administrator / Modify. Since the faxes are only stored on the fax server (not on the fax client), a fax is deleted for all users if a user deletes a fax.

Sending Images

Q:
I am having a problem with using Actifax to send over EKG’s because the images are not clear and able to be read. I was hoping that there is a setting to enhance the detail to enable the readings to come through better. When sending through a normal fax machine the EKG’s are readable, however; this is not the case through activefax. please advise.

A:
If possible, I would to send images always in monochrome (black/white) format instead of full color format for best quality. What you can also try to do is to increase the resolution of the ActiveFax printer in the printer properties in the Windows Control Panel.

Windows 2008 / 64-bit / TruFax

Q:
We are evaluating the possibility of migrating to Windows 2008 Server environment and wanted to know a few technical details about ActFax. It is mentioned on Product Details page that ActFax runs on Windows 2008. We have a Brooktrout Trufax fax board that used to work successfully under Windows 2003. I also know that Brooktrout do not provide drivers except for fax software developers. Did you test if Brooktrout Trufax board would work with ActFax under Windows Server 2008 64-bit?

A:
There are no drivers for Windows 2008 or 64-bit Windows available from Brooktrout so far, so I would recommend to use a 32-bit Windows 2003 system when using Brooktrout Trufax boards.

unwanted faxes on 0800

Is there anyway of stopping inbound fax spam on an 0800. We get enough
of it already.

Fax technology does not allow to exclude specific numbers from being received.

Nextgen EMR

Q:
I am trying to use data fields inside of Nextgen EMR which uses it’s own file format .NGN which I believe is based on RTF. It seems that the Activefax printer must be the default in order to keep the AF font inside these documents. Any other ideas? I guess I am going to try to move on to using the fileserver feature of Active fax and see if I can get that working. I do not have a lot of control over the Nextgen Document system.

A:
The ActiveFax printer does not need to be the system default printer, but since the ActiveFax font is a printer internal font, most applications only show such fonts when the active printer is the ActiveFax printer. As an alternative it would also be possible to use data fields as part of the document name when EMR uses the document name for the print job name in the printer spooler. To process documents directly through the file system, it is important to use a file format that can be directly processed by the fax server (HP Laserjet, Epson, Tiff G3 + G4, Postscript and PDF).

Server migration

Q:
We are planning to perform a migration from the server where we run > ActiveFax on to a new domain.
Is there something that I must take care for during the migration regarding the Activefax software?

Separate of this we are also planning to upgrade the server software from 3.6 to 4.16. For this upgrade also the question: Must I take care about something or can I perform a upgrade without any care?

A:
To transfer an existing ActiveFax installation to a new computer, copy
the complete ActiveFax installation directory (usually C:\Program
Files\ActiveFax) with all subdirectories from the old server to the
new server. After the files have been copied you need to run the
ActiveFax Setup on the new server to create the programs and services
on the new server. That way all data and settings are transferred to
the new system.

The installation drive and directory may also change when you transfer the files to the new server. For example it would also be possible to transfer an ActiveFax installation from C:\Program Files\ActiveFax on
the old server to D:\Programs\ActiveFax on the new server.

There is nothing special to do for upgrading to the new version. Simply download it from http://www.activefax-distribution.com/e_download.html and update the server and the clients. Then restart the ActiveFax Server. The update is free and the existing license no can be used.

Notify multiple users

Q:
Is it possible to notify more than one user when a fax is received …

A:
This is possible when you enter multiple email addresses separated with a semicolon for the notification.

Q:
It only seems to be possible to specify one user in the MODEM SETTINGS window in the field « default user for all incoming faxes »…. (it would be a good thing to be able to select a group instead of only one user). server is not using a ISDN device …it is using a standard modem (multitech)

A:
A fax can always only be owned by a single user. If multiple users should see incoming faxes, I recommend to create a group and add all of these users to that group.

Direct Access

Q:
Hi, I have question concerning active fax client and server installed on a windows 2003 server (terminal server). Everytime i create a new user and i start active fax it just can’t open……it always tries to connect to the server on the local machine (the network option “Direct Access” is always selected)….it should work since the server is installed on the same pc….but it doesnt. I have to log into every terminal server session to modify the network settings of the client (i have to select “network connection” instead of “direct access” and type the ip address of the server (the same ip im currently logged on). Is there a way to do that without logging into every session ?

A:
I recommend to also change this on the fax client directly on the console screen for the Administrator user, since the settings for that user are used for new users. As an alternative, it would also be possible to change this with the following registry keys:

– HKEY_LOCAL_MACHINE\SOFTWARE\ActFax Communication\ActiveFax\Server\ConnectType
– HKEY_LOCAL_MACHINE\SOFTWARE\ActFax Communication\ActiveFax\Server\AddrTCP

Diva SoftIP is configured exactly the same way like a normal ISDN adapter on the fax server, so once SoftIP has been installed, you just need to add a new ISDN adapter on the fax server in the menu Communication / Modem / New.
