Margins

Q:
We are experiencing some inconsistencies with margins dependent upon the client the report is sent to. The majority of these print out correctly. The margins are currently set universally for 10 mm’s left, right, top & bottom. Are there any known issues with margin settings not being honored in all instances?

A:
When using the ActiveFax printer, the margin is normally set directly by the application. Since the ActiveFax printer does not have a non-printable area, it would be possible to set the top and left margin also to 0.

Q:
I may have describe the issue incorrectly.These are faxes sent by ActiveFax. They are not being printed by ActiveFax.

A:
But you print the document to be faxed to the ActiveFax printer, correct? In that case, the margin is normally set directly in the application creating the print job for the ActiveFax printer (i.e. in Winword).

It would also be possible to configure an additional margin for faxes sent by ActiveFax with the menu Extras / Options / Modem on the fax server.

Undeliverable Faxes

Q:
Version 4.16 build 0217. We have been having more and more troubles getting undeliverable faxes. Is there an easy way to go through the logs to see what the common issues are? I tried using notepad but they aren’t very easy to read with it. Also is there a guide as to what the different error codes mean and how to fix them? Thanks.

A:
I recommend to check the menu Extras / Transmission Protocol in that case to see which error code you get for such failed transmission. It would also be interesting to know which modem you are using. In general, I recommend using the modem settings as follows when having transmission problems:
* Menu Communication / Modem / Modify
o Modem Type: Generic Class 1 Modem
o Modem Class: 1
* Menu Communication / Modem / Modify / Port Settings
o Baud Rate (bps): 57.600
o Data Bits: 8
o Parity: None
o Stop Bits: 1
o Flow Control: Hardware
* Menu Communication / Modem / Modify / Extended
o MR-Compression (Modified Read): enabled
o Error Correction Mode (ECM): enabled
o Transfer Rates faster than 9.600 bps: enabled

You also need to take care that the options ‘Enable incoming calls (Receive)’ and ‘Answer incoming calls after x rings’ are enabled in the menu Communication / Modem / Modify. If the calls are still not answered, you should also enable the option ‘Answer calls for all MSN’ in the menu Communication / Modem / Modify / Port Settings. This option should however only be enabled, when there are no other devices connected to the same ISDN line.

If it does not work with these settings, I would recommend to make sure that the phone line is ok or trying a modem of a different brand. Limiting the baud rate to 9,600 bps in the menu Communication / Modem / Modify / Extended could also help.

Missing 2 lines

F:
We moved from server version 3.85 to 4.16. Client version is still 3.94. We have problem with some partners that there is missing 2 lines from fax. We can see fax with correct outfit in active fax client and we can
send it succesful to our physical fax devices. But few partners are always missing same two lines from preconfigured letter. Viewing with hex editor those printer text files doesn’t have any extra characters.

A:
When you preview the fax on the screen, are the 2 lines displayed ok? If the preview on the screen is ok, this is normally caused by a modem related problem.

I recommend using the modem settings as follows:

* Menu Communication / Modem / Modify
o Modem Type: Generic Class 1 Modem
o Modem Class: 1
* Menu Communication / Modem / Modify / Port Settings
o Baud Rate (bps): 57.600
o Data Bits: 8
o Parity: None
o Stop Bits: 1

Notification for incoming faxes

Q:
We have been using ActiveFax since 4 years to develop a fax processing System. All tests we conducted with our use cases were successful and for that matter our system has been deployed in the production environment. Just today a very serious problem has emerged and I would be very grateful if you could be of help to us.

Here is a very brief description of the Problem:

Active Fax is configured to send for any incoming fax, a confirmation mail to a configured Mail Server (JAMES is used as MAIL Server). It is desired that, when the JAMES is not function, Active Fax will keep the mails till the JAMES is working. It will then send the reserved mails to our mail system (JAMES).

Until now this has functioned extremely well because the amount of mails to reserved has been relatively small (Active fax always marked mails not yet sent as unread). In the production system we have more than 1028 mails marked as unread and this will not be sent to our mail system even though the mail system is working. We have checked all the configuration of Active fax and it appears that everything is ok. What is more, faxes that come after the mail server was started will correctly be sent to our mail server.

Could you please be of help, to tell us what may have gone wrong?

A:
If you do not get an automatic email notification for incoming faxes and the status of the fax does not change to read, I recommend to check the notification settings for the user in the menu Communication / Modem / Modify / Notification. Take care to check this for the correct user. Incoming faxes are owned by the default user configured for the modem in the menu Communication / Modem / Modify. To test if the connection to the mail server is ok, I would recommend to create a new message (i.e. from Wordpad) and enter an email address instead of a fax number.

Q:
We have controlled our configuration, compared to other instance of active fax where this problem does not exist. Everything appears to be rightly done, despite this, the problem is still there. Could you please give us further tips how to trace the problem?

A:
Have you already tried to send a normal message by email? If you have already tried this, it would be interesting to see the status of the message in the faxlist. If the status is “Sent” the mail has been
accepted by the mail server. When the mail is not successfully sent in that case, this could be caused by a permission issue on the mail server, so the mail is not forwarded. If the status is “Undelivered” or “Undeliverable”, we should see an error message in the menu Extras / Transmission Protocol.

MIME encoding

Q:
I am inquiring if ActiveFax ds out attachments encrypted with MIME (or base64 encoding) and if so, is there a way to turn this off?

A:
ActiveFax uses base64 encoding to send attachments. This cannot be turned off. Since attachment files normally also contain non-printable characters it normally also does not work to send attachments unencoded.

User “Unknown”

Q:
How can I remove the user “Unknown”?

A:
The users “Unknown” and “Administrator” are preset users that cannot be removed. The Unknown user is used when you delete a user that has existing faxes. These faxes are then owned by the unknown user.

automatically export files in .pdf format

Q:
I am trying to automatically export files in .pdf format. I have created a OPTIONS.CFG file and placed it in the correct path but the exported files are still being created in .tif files. What am I doing wrong?

A:
If you want to change the export file format to PDF format, you can do this on the fax server in the menu File / Export / Properties.

avoid deletion of faxes

Q:
Some users by mistake or even “intentionally” tend to delete incoming or outgoing fax messages and was wondering whether there is any modulation(patch or update) for refusal to delete fax, from Fax list or recycle bin.

A:
You can configure this with the menu Extras / Options / General / Extended Options / Permissions with the parameter “Administrator permission is required to delete fax messages from the fax list”. When you enable that option only users with Administrator permission are allowed to delete faxes.

Q:
Last but not least, outgoing messages cannot be rotated such as the incoming fax messages.

A:
That’s correct, this is only possible for incoming faxes, because normally only incoming faxes are received upside down.
