Transfer to a new server

Q:
We run Active Fax and it currently is on a server that is going bad. We want to know the best way to move the program from one server to the next with > the least amount of down time.

A:
To transfer an existing ActiveFax installation to a new computer, copy the complete ActiveFax installation directory (usually C:\ProgramFiles\ActiveFax) with all subdirectories from the old server to the new server. After the files have been copied you need to run the ActiveFax Setup on the new server to create the programs and services on the new server. That way all data and settings are transferred to the new system.

The installation drive and directory may also change when you transfer the files to the new server. For example it would also be possible to transfer an ActiveFax installation from C:\Program Files\ActiveFax on
the old server to D:\Programs\ActiveFax on the new server.

Reinstallation after Server Crash

Q:
Our Server has crashed that has Active Fax on it can you please tell me how to reinstall active fax server and client. Existing data should be recovered.

A:
If you have a backup of the data, you just need to restore the data (directory Program Files\ActiveFax) and once run the setup of the fax server.

Add new months

Q:
The activefax program no longer create new months under the archive files for example it last created an automatic file for January 2009 – the one for February and march 200p is not created up to now

A:
I recommend to check the settings in the menu Extras / Options / Archive on the fax server in that case. You also need to take care that the fax server just automatically moves faxes with the status “Sent” or “Read” to the archive. Faxes with a different status are not automatically moved to the archive.

Server migration

Q:
We are planning to perform a migration from the server where we run > ActiveFax on to a new domain.
Is there something that I must take care for during the migration regarding the Activefax software?

Separate of this we are also planning to upgrade the server software from 3.6 to 4.16. For this upgrade also the question: Must I take care about something or can I perform a upgrade without any care?

A:
To transfer an existing ActiveFax installation to a new computer, copy

There is nothing special to do for upgrading to the new version. Simply download it from http://www.activefax-distribution.com/e_download.html and update the server and the clients. Then restart the ActiveFax Server. The update is free and the existing license no can be used.

Nextgen Document System

Q:
I am trying to use data fields inside of Nextgen EMR which uses it’s own file format .NGN which I believe is based on RTF. It seems that the Activefax printer must be the default in order to keep the AF font
inside these documents. Any other ideas? I guess I am going to try to move on to using the fileserver feature of Active fax and see if I can get that working….. I do not have a lot of control over the Nextgen
Document system.

A:
The ActiveFax printer does not need to be the system default printer, but since the ActiveFax font is a printer internal font, most applications only show such fonts when the active printer is the ActiveFax printer. As an alternative it would also be possible to use data fields as part of the document name when EMR uses the document name for the print job name in the printer spooler. To process documents directly through the file system, it is important to use a file format that can be directly processed by the fax server (HP Laserjet, Epson, Tiff G3 + G4, Postscript and PDF).

ActiveFax Archive

Q:
I see where all the faxes are archived but when you look at the client it shows archived faxes back to April 2007 but when I look at the Faxlist the actual dates on the files go back to January 2008 so the two don’t correlate. I want to move off some of the folders that have been archived or even delete them from the faxlist folder completely as we don’t need them more than 3-4 months back. What damage if any will this do to the database?

A:
To automatically moved faxes to the archive, you can configure this with the menu Extras / Options / Archive on the fax server. By default, faxes are moved to the archive after 14 days. Take care that
only faxes with the status “Read” and “Sent” are automatically moved to the archive.

To remove old archives, you just need to delete the following files:

- ActiveFax\Server\Faxlist\yyyymmdd (separate directory for each day)
- ActiveFax\Server\Archive\Faxlist\yyyymm.dat (separate index file for each month)

If you should need the faxes again, you need to create a backup of the files before you delete them. To refresh the archive folder list after the files have been deleted, you also need to once stop and restart the fax server.

ActiveFax Archives stopped

Q:
I need to check our ActiveFax archives. Need to find out if  someone deleted the files. The default is still set to 14 days and it worked fine for several months.

A:
If you know the date and time of the fax, you should be able to find the fax image file in the directory Program Files\ActiveFax\Server\Faxlist\yyyymmdd if the images have not been deleted. When starting the fax server with the option -Restore it would be possible to recreate the faxlist entries. To do so, stop the fax server and run ‘Program Files\ActiveFax\Server\ActFax.exe -Restore’ (your path can be different). Choose ‘Restore Faxlist from File’ or ‘Restore Faxlist from Directory’ from the File menu and select the fax or day you need to restore.

ActiveFax Archiving

Q:
We are using v4.10 and have recently noticed that our AF Server stopped archiving incoming faxes on June 10.  Is there a log file or anyway of checking if those files were in fact accidently deleted by someone.

A:
By default, the fax server automatically moves faxes with status “Read” or “Sent” to the archive after 14 days. Faxes with a different status are not automatically moved to the archive. You can also check the settings for automatic archiving in the menu Extras / Options / Archive on the fax server.

Storage/file type

Q:
Where are the faxes stored on the computer? I want to make sure the images are backed up every day. I did not see any .bmp files, so I assume that it is a different file type … ?

A:
Yes, the fax image files are stored in an internal format (not .bmp) at Program Files\ActiveFax\Server\Faxlist. Regarding backups, I would recommend to make a complete backup of the Program Files\ActiveFax directory on the fax server ( see http://www.activefax-distribution.com/afewbb/thread.php?threadid=3&sid= )

Fax Archive

Q:
I am interested in your product. I need the ability to search and view faxes that I sent up to 1 year ago. How is this achieved with ActiveFax? What fields can I search on to find a specific fax, and will the actual fax image be with it?

A:
By default, ActiveFax creates an archive folder for each month, so you first need to change to the archive folder that should be searched (you can find the archive folder below the recycle bin in the fax selection window). To search for faxes in the archive folder, simply enter the text that should be searched in the “Search” field below the fax list window. ActiveFax searches in all fields in that case. The content of the fax image is however not searched, since the fax is stored as a bitmap.
